Job Description:

The American Museum of Natural History is seeking a Program Manager who is responsible for working collaboratively with other department staff, Museum scientists, and educators to secure new and continued funding from private foundations. In addition to maintaining a small portfolio of funders, the Program Manager provides essential support for the Director, Foundation Support through project management, writing and editing support, gift processing, reconciliation, and internal and external reporting. This is an opportunity for a detail-oriented, self-starter with exceptionally strong writing and organizational skills to be an important part of a key Museum fundraising program. The successful applicant will experience up close the operations of a prominent cultural institution, as well as enjoy a behind-the-scenes view of the Museum’s extraordinary scientific collections and leading research and education programs.

Job Responsibilities:

  • Assist in developing and writing compelling proposals for new and renewed funding to private foundations;
  • Develop and write effective reports on use of donor funds, including financial reporting.
  • Maintain and update library of Museum documentation required for proposals and reports, e.g., institutional budgets, audited financials, board lists, background text.
  • Write letters to acknowledge receipt of contributions and other donor correspondence.
  • Edit and proofread proposals, reports, and acknowledgements written by other Foundations staff.
  • Keep up-to-date on current programs and initiatives across Museum departments, and respond to informational/text requests from other department staff.
  • Work with Museum staff in Science and Education to identify current funding needs and match with potential foundation prospects. Coordinate meetings with Museum program staff and Foundation program staff.
  • Research current and potential foundations donors; keep up to date on foundation news, RFPs, and other giving opportunities. Attend informational meetings and conference calls related to giving opportunities.
  • Maintain prospect grids for IA prospect meetings.

Job Requirements:

  • Bachelor’s degree and 3+ years of office experience.
  • Exceptional writing, editing, and proofreading skills, with the ability to easily change writing styles to fit audience and voice.
  • Ability to interface with individuals at every level of an organization, both internally and externally.
  • Exceptional time management and organizational skills, sharp attention to detail, strong work ethic, excellent judgment, and discretion.
  • Calm and professional demeanor, with the ability to adapt quickly to, plan for, and manage multiple projects in a fast-paced, high-expectation environment.
  • Fluency in Microsoft Office and Excel.
  • Willingness to work occasional evenings and weekends for fundraising events and donor visits.
